What are the do’s and don’ts for sacramental records?
Can I accept via email copies of required documents such as baptism certificates, marriage certificates, confirmation certificates, etc?
 
To process a baptism, we request documents from the godparents…
 
I would check with your pastor and follow his advice. For something like marriage preparation, you definitely need recent, official copies of baptismal records. For sponsors and godparents, we don’t ask for baptismal records, rather a signed letter from the person’s pastor attesting that they are a fully initiated, practicing Catholic in good standing.

But go with whatever your pastor says.

Do you work in a parish? Has your pastor not given you instructions on handling sacramental records?

Sacramental records have the parish seal on them. We should deal only in originals, recently issued.

Ask your pastor for guidance.
 
I work in a parish. For Marriage and Confirmation, we require a record that is dated recently and sealed by the other parish (except the parishes in town, we simply call them). The only exception is when the other parish is located in a remote place in another country where sending the record would take a long time and be a real burden, then we will take a fax. This is in fewer than 1% of the cases.

Your Diocese has rules about the Sacramental registers/records. If you are new, schedule a time to go over to the Chancery and learn about them.
