The Diocese issues a document that details what you may dispose of and when.
They also will store anything you want there at the Chancery for you.
It’s been my experience though, that is akin to a “black hole”. Don’t expect to ever find it again, LOL

Things like enrollment records of children have to be kept forever.
Things like cancelled checks from 20 years ago? Can be shredded. Preferably by a professional shredding company.

Which, come to think of it, may be the reason why the work has halted. At my parish we do not permit a volunteer to do such work.

I was trashing utility bills from the 1990’s. I shredded bank statements and cancelled checks from the 1990’s. I was working with the list from the diocese as to the retention period for everything else. Anything I was not sure about I put in a box and discussed with the previous pastor when he had time or the Business Manager if it involved payroll or taxes. I never made assumptions as to what was important and what was not. We are a poor parish that faces the possibility of being closed as we cannot meet our financial obligations. We cannot afford to pay for shredding so Father got us a very good micro shredder. There are a lot more volunteers than actual paid staff. I have been in this parish for over 60 years and I think they can trust me to do only what is good for the parish I love.

Mer,

Perhaps this admin is doing you a favor.

Have you ever heard the quote “Ignorance of the law is no good excuse, where every man is bound to take notice of the laws to which he is subject” Thomas Hobbes

This is not legal advice. However, Clare has a good point. The new guy may be more up on the laws and understand that however well intended, there may be some big issues with what you are doing. I am sure you have your heart in the right place, but it may be VERY good you are not working on this project–for your own legal safety. If you are curious, you may want to google “Your State+ destruction of old financial records by nonprofits”

I agree with the others. Get your personal items and ask where you may be of use otherwise.

Not to derail Mer, but I think it’s wonderful that you are so dedicated. You are a such an asset to your parish.

I hope u get an answer from the administrator soon.
